Employee equity often leaves a trail across a plan portal, payroll and a broker. Gather that trail before deciding what a sale means for the return. A grant letter and a broker cash balance rarely establish all the facts on their own.

Grant, vesting, exercise and sale are separate records

Read the plan terms first: vesting and exercise are not interchangeable. An option record can have both, while an RSU record can describe vesting and later settlement or delivery. Preserve the event names and dates in the source instead of assigning every plan the same timeline.

For each lot, retain the instrument identifier, award reference, relevant dates, quantity, source valuation and currency, employee payment where applicable, employer perquisite reference and disposal record. Store the exchange-rate evidence and conversion date with each converted value, rather than recording only an unexplained rupee total.

Keep stock splits, transfers between brokers and replacement statements too. A transfer is a record to investigate, not a reason to treat acquisition history as missing or reset its date. If a broker’s basis looks incomplete, obtain the underlying award and employer valuation working before using it in the computation.

Worked example: match records without inventing the lot

Illustrative records only: an employee has two awards of the same company’s shares. The employer working labels one award “A”; its vest record and the broker’s delivery statement both reference that award. A later trade confirmation identifies the sold shares as lot A. A separate award “B” appears as lot B.

  1. Match the identity: connect employer award A to the broker’s lot A using the shared award or delivery reference. Company name alone cannot distinguish two awards of the same shares.
  2. Keep the dates distinct: preserve the recorded vest date and delivery date. If the plan includes an exercise event, keep its confirmation too. Do not rewrite one date to match another.
  3. Trace the valuation: link the employer’s event-level perquisite working and any employee payment evidence to the identified lot. A plan screen’s current market price is not the historical valuation working.
  4. Attach the sale: retain the trade confirmation, quantity, currency and proceeds for lot A. Keep lot B’s acquisition history for its own later disposal.

If the trade confirmation does not choose which lot was sold, this example cannot settle that fact. Obtain the broker’s lot-detail evidence and confirm the applicable identification method. Do not substitute the oldest or cheapest award just because it produces a convenient result.

This example produces a reviewable evidence chain, not a tax number. The applicable valuation, basis, holding period and tax treatment still need the actual plan, residency, source dates and rules for the income year.

Foreign shares need more than a sale statement

Gather foreign broker or custodian account statements, dividends, withholding certificates and any employer foreign-tax records. Keep income and tax withheld as separate facts. An amount withheld abroad does not by itself establish an Indian tax credit.

Residency and disclosure requirements must be established for the applicable year. Retain the statement history needed for account and asset disclosures, including balances and dates where requested. The reporting period for a required foreign disclosure can differ from the income period; use the applicable schedule instructions rather than assuming an April-to-March broker report is sufficient.
